Integration

Sync HR Cloud employees and never miss a certification deadline

HR Cloud gives enterprise HR teams a single platform for HRIS, onboarding, engagement, and employee self-service. But employee credentials — licenses, certifications, training records, and compliance documents — still expire on their own schedule, and a missed renewal can stall onboarding, ground a project, or trigger an audit finding.

The Expiration Reminder integration with HR Cloud connects the two systems so every employee record stays paired with its compliance status. As your team adds employees, departments, and roles in HR Cloud, Expiration Reminder builds a live picture of who holds which credentials and when each one is due to expire — and it tells the right people before anything lapses.

  • Employee records sync automatically from HR Cloud to Expiration Reminder, so new hires, role changes, and offboarding stay in lockstep across both systems with no double entry.
  • Set per-role document requirements once — like OSHA 30 for site supervisors or BLS for clinical staff — and Expiration Reminder flags missing or expiring credentials before they become a compliance problem.

What you get with the HR Cloud + Expiration Reminder integration

HR Cloud is the system of record for your people — every employee, every role, every department. Expiration Reminder is the system of record for the documents those employees need to do their jobs legally and safely. Connecting the two means your employee data and your compliance data finally tell the same story.

Once connected, employee records flow from HR Cloud into Expiration Reminder, and you assign document requirements at the role or department level. From that point on, the platform tracks each employee's certifications, licenses, training records, and other expiring documents — and notifies the right people well before anything is due to expire.

Key benefits

  • One source of truth for employees and their credentials. Employee records sync from HR Cloud automatically, so you don't have to maintain a parallel list of people anywhere else.
  • Role-based document requirements. Define what each role needs — driver's licenses for drivers, OSHA cards for site supervisors, BLS for clinical staff — and Expiration Reminder applies the rules to everyone who fits.
  • Proactive renewal reminders. Stakeholders receive automated alerts ahead of every expiration, so renewals happen on time instead of in an audit cycle.
  • Audit-ready reporting. Generate a clean compliance report for any team, department, or location in seconds — useful for internal reviews, client audits, and regulator requests.
  • Less manual work for HR. No more spreadsheets, no more chasing down photocopied certifications by email. HR can focus on people, not paper.

How it works

The integration pulls employee data from HR Cloud — names, employee IDs, departments, job titles, hire dates, and other fields you choose to map — and creates or updates matching records in Expiration Reminder. New hires appear automatically. Departing employees can be archived in line with your offboarding policy. Role and department changes propagate so the right document requirements always apply.

On the Expiration Reminder side, you configure document categories (for example, "Forklift Operator Certification" or "Annual Bloodborne Pathogens Training") and which roles need them. As employees move through their lifecycle in HR Cloud, Expiration Reminder keeps their required documents aligned. When a document is added, renewed, or due to expire, alerts go to the people who own the next step.

Use cases

Healthcare: keep clinical credentials current across every facility

A multi-site healthcare organization manages registered nurses, medical assistants, and clinical support staff in HR Cloud. With the integration, Expiration Reminder automatically tracks each clinician's state license, BLS, ACLS, and annual compliance training — and notifies department leads 60, 30, and 7 days before any document expires. Credentialing teams stop chasing PDFs over email and start working from a single dashboard.

Construction: prove site readiness without scrambling

A general contractor uses HR Cloud to manage tradespeople across active projects. Expiration Reminder ingests the workforce from HR Cloud and tracks OSHA 10/30 cards, equipment certifications, safety trainings, and trade licenses by role. When a project inspector asks for proof of compliance for everyone on a site, the safety manager pulls a current report in one click — no calls to subcontractors, no paper folders.

HR teams: turn onboarding into a compliance checkpoint

HR Cloud already handles the onboarding workflow — W-4s, I-9s, NDAs, training videos. Expiration Reminder picks up where onboarding ends: every credential a new hire needs to stay compliant is tracked from day one, with renewal reminders that the employee, their manager, and HR all see. New hires are productive faster, and HR has audit-ready proof that every requirement was met.
